Submitting a Print Job

If you are logged in to a Drake computer, you are also logged into PaperCut. To print from a campus computer:

  • Use the file > print menu to send your print job(s).
  • Select the BW_FollowMe (black-and-white) or Color_FollowMe.
  • Select either double-sided or single-sided from the file > print menu on your computer (the printers will default to double-sided).

If you are printing from a personal device like your laptop, you will need to log in to PaperCut.

  • If you are a student who has access to a shared account in addition to your personal account, select the account you would like to use for a particular print job. 
  • From the menu on the left, select "Web Print."
  • Once you have opened the Web Print page, select "Submit a Job" and follow the on-screen prompts to submit your desired print jobs.

You can also install the printers on to your personal device. 

You can use the bypass tray to print/copy on colored paper, letterhead, or cardstock.

To print to the bypass tray:

  • From your computer, click print, then click "Printer Properties."
  • From the next menu, click the "Basic" tab.
  • In the Basic menu, click on "Paper Tray" and click on "Bypass Tray." Then, click on "Paper Type" and, if necessary, indicate the type of paper you will load into the bypass feeder of the device. Note: If you cannot change the Paper Type from the Basic menu, click on "Paper Settings for Each Tray" to select additional settings from that menu, including paper type.
    • If you are printing a non-standard size paper (anything that isn't legal, letter, or tabloid), you must also change the “Original Size” setting to match the size of the paper you will load into the feeder and double-check that "Paper Size" is set to "Same as Original Size."
  • When you have selected your desired options, click "OK" then "Print."
  • Log into the device and, before loading your paper into the bypass tray, release your print job.  
  • A message will appear on the touch screen prompting you to insert paper into the bypass tray or to select a paper tray.
  • Load the paper into the bypass tray (pull down tray on the right side of the machine). The paper will either be pulled immediately through to complete the job, or you will need to touch “Complete.”
  • When you have finished, press "Log out" twice.

To make copies using paper in the bypass tray:

  • Log into the device and load your paper into the bypass tray (pull down tray on the right side of the machine.)
  • Press "Copy."
  • On the bottom menu that appears on the touch screen, select "Auto" above Paper and touch the bypass tray option (an image of a hand next to 8.5x11), then touch "Close."
  • Load your documents into the feeder or place them one at a time on the document glass and press "Start."
  • When you have finished, remember to collect the paper you have placed in the bypass tray, and press "Log out" twice.

Releasing a Print Job

Once a job has been submitted, you can print from any printer on Drake's campus. To release a job, log in to the device you would like to print from by holding your ID card next to the reader (black box with blue and white flashing light on the right side of the device) or by typing in your Drake credentials using the keyboard.

Once logged in:

  • The touch screen will display two lists on the left and right sides of the screen: "Held Print Jobs" will appear on the left and "Select a Job" will appear on the right. "Held Print Jobs" will display the submitted document(s) that are ready to print. 
  • Touch the name of the document you would like to print under "Held Print Jobs."
  • Once the document appears on the right side of the screen, it will display the number of pages and the cost to print the entire document.
  • Touch "Print" at the bottom right of the screen to print your document.
  • Once finished, log out by pressing "Log out" twice.

Printing from a USB

You can use a USB to print from any device on Drake's campus. The following file types can be printed from Drake's devices: PDF, Compact PDF, JPEG, TIFF, XPS, Compact XPS, OOXML (.docx/ .xlsx/ .pptx) and PPML (.ppml/ .vdz/ .zip).

To print from a USB:

  • Log in to the device you would like to print from by holding your ID card next to the reader (black box with blue and white flashing light on the right side of the device) or by typing in your Drake credentials using the keyboard.
  • Once logged in, plug in your USB into the port on the right side of the device, near the display screen.
  • A pop-up window will appear. To select documents to print, touch "Print a Document from External Memory."
  • A list of the documents saved to your USB will be generated, including folders that house individual documents/files.
    • To print your desired document(s), touch each item from the list you wish to print. You can print more than one document at a time.
    • To print a document saved in a folder, touch the folder that houses that document; then touch "Open" near the bottom right of the touch screen.
    • If you need to go back to the previous screen, or back to your main document list after opening a folder, touch the upward-pointing arrow located in the upper left corner of the screen.
  • Once you have selected the items you wish to print, touch "Print."
  • On the next screen, select desired options for color, size of paper, single- or double-sided, and finishing (staples or hole-punch). The "Application" feature provides additional options; add these features by touching them on the screen, then touch "Close."
  • Once you have selected all of your additional features, press "Start."
  • When you are finished, remove your USB. You may navigate back to other device functions such as copying or scanning by pressing the appropriate buttons, or press "Log out" twice.
    • Do not disconnect your USB while printing, while the hourglass is displayed in the control panel, or directly after connecting it.

Note: When printing a PDF from a USB, there is typically a very long delay before the document will print. To bypass the delay, log in to a Drake computer and plug in your USB. When you are ready to print your document, click on the "Advanced" printing tab and check the box next to "Print as Image" before submitting your print job.

Using the Finishing Option

When printing from a campus computer, finishing options will be available to your under "Printer Properties" when you are ready to print your document. However, if you want access to finishing options using a personal device, such as a laptop, you will have to install the printer driver/printer client on to your personal device.

To staple your document:

  • From your computer, click "Print" then "Printer Properties."
  • Click "Finish."
  • From the menu, click in the "Staple" box, then click on the drop down menu to choose the position of your staple (the top left corner is auto selected).
  • Click "OK."
  • Click "Print" and then log in to the device you would like to print from to release your job.

To hole-punch your document:

  • From your computer, click "Print" then "Printer Properties."
  • Click "Finish."
  • From the menu, click  on the "Punch" box, then click on the drop down menu to select the number of punches (2 or 3).
  • Click "OK."
  • Click "Print" and then log in to the device you would like to print from to release your job.

Note: Not all devices have the capacity for staples or hole-punches. For a list of devices that have this feature, see the "Printer/Copier Locations" page within this guide.

Printing Envelopes

Once you have created your document and are ready to print:

  • Go to File, then click "Print."
  • Under Settings, click on "Print One Sided."
  • Click "Printer Properties."
  • In the drop down menu under "Original Size," click on "Envelope Com 10."
  • In the drop down menu under "Paper Size," click on "Same as Original Size."
  • Click on the "Basic" tab. In the drop down menu for "Paper Tray," click on "Bypass Tray."
  • Click on "Paper Settings for Each Tray," then click "Bypass Tray Envelope."
  • In the drop down menu under "Paper Type," click "Envelope," then click OK to close this menu.
  • Click OK again, then click "Print."

To release your job from the printer:

  • Log in to the device by holding your ID card next to the reader (black box with blue and white flashing light on the right side of the device) or by typing your Drake credentials using the keyboard.
  • Do not load the envelope(s) into the bypass tray. Leave the tray empty and release your print job.
  • The touch screen will display a message requesting the user to load paper into the bypass tray. Once you see this message, load the envelope(s) flap up with the point of the flap pointing towards you. Adjust the arms in the bypass tray to fit around the envelope.
  • Touch "Complete." Note: The device may save these settings the next time you log in to print envelope(s) from the bypass tray. If this occurs, you will not need to touch "Complete"; the paper will simply be pulled through the feeder once it's loaded into the bypass tray.

 

Once you have created your document and are ready to print:

  • Go to File, then click "Print."
  • Under Settings, click on "Print One Sided."
  • Click "Printer Properties."
  • In the drop down menu under "Original Size," click on "Envelope Com 10."
  • In the drop down menu under "Paper Size," click on "Same as Original Size."
  • Click on the "Basic" tab. In the drop down menu for "Paper Tray," click on "Bypass Tray."
  • Click on "Paper Settings for Each Tray," then click "Bypass Tray Envelope."
  • In the drop down menu under "Paper Type," click "Envelope," then click OK to close this menu.
  • Click OK again, then click "Print."

To release your job from the printer:

  • Log in to the device by holding your ID card next to the reader (black box with a red light).
  • Carefully open the bypass tray (the compartment just above Tray 1).
  • Once open, you will see a small graphic of an envelope on the tray. This indicates how the envelope should be loaded into the tray. The envelope should be placed in the feeder flap down, and the flap should be on your left. Adjust the arms in the tray to fit around the envelope(s).
  • Touch "Release Print Job," and, on the next screen, touch the arrow next to the job you want to print, then touch "Print."

Printing on Cardstock

Once you have created your document and are ready to print:

  • Go to File, then click "Print."
  • Under Settings, select on one-sided or double-sided printing.
  • Click "Printer Properties."
  • In the drop down menu under "Paper Size," click on "Same as Original Size."
  • Click on the "Basic" tab. In the drop down menu for "Paper Tray," click on "Bypass Tray."
  • Click on "Paper Settings for Each Tray," then click "Bypass Tray."
  • In the drop down menu under "Paper Type," click "Thick 2," then click OK to close this menu.
  • Click OK again, then click "Print."

To release your job from the printer:

  • Log in to the device by holding your ID card next to the reader (black box with blue and white flashing light on the right side of the device) or by typing your Drake credentials using the keyboard.
  • Load the paper into the bypass tray.
  • On the touch screen, touch the print job you'd like to print, then touch "Print.

Once you have created your document and are ready to print:

  • Go to File, then click "Print."
  • Under Settings, select on one-sided or double-sided printing.
  • Click "Printer Properties."
  • In the drop down menu under "Paper Size," click on "Same as Original Size."
  • Click on the "Basic" tab. In the drop down menu for "Paper Tray," click on "Bypass Tray."
  • Click on "Paper Settings for Each Tray," then click "Bypass Tray."
  • In the drop down menu under "Paper Type," click "Thick 2," then click OK to close this menu.
  • Click OK again, then click "Print."

To release your job from the printer:

  • Log in to the device by holding your ID card next to the reader (black box with a red light).
  • Carefully open the bypass tray (the compartment just above Tray 1).
  • Place the paper in the tray.
  • Touch "Release Print Job," and, on the next screen, touch the arrow next to the job you want to print, then touch "Print."
