Printing and Copying

Copying

To make copies, log in to the device you would like to print from by holding your ID card on top of the reader (black box with a red light on the left front side of the device) or by typing in your Drake credentials using the keyboard icon in the upper right corner of the screen.

To make a copy of a document using the feeder: 

  • Select the icon in the middle of the screen labeled "Access Device"
  • Choose the "Copy" icon
  • The next screen will show the number of requested copies and scrolling down will reveal more copying options: Output Color, 2-Sided Copying, Paper Supply, Finishing, Reduce/Enlarge, Original Type, Lighten/Darken, Original Orientation, Original Size, Book Copying, Special Pages, Build Job, and Show Additional Features.
  • For 8.5x11 paper, place the documents vertically face up in the feeder. For larger standard paper sizes (tabloid-- 11x17, and legal-- 8.5x14), place the documents horizontally face up in the feeder. Note: Only set paper in or on the feeder if you are currently making copies of those materials. Setting extra copies or paper higher up on the feeder will cause the sensors in the feeder to auto detect a larger paper size, and your document will print on longer paper than is necessary.
  • Before pressing "Start" in the upper right of the screen please choose "Paper Supply" and pick out the desired paper size instead of "Auto Paper Select." There have been some issues with the device auto selecting the correct paper size, e.g. legal size for letter.
  • For documents that do not match one of the device's standard paper sizes (8.5x11, 11x17, or 8.5x14), you will need to use the "Reduce/Enlarge" feature so that your document will fit the page.
    • Touch "Reduce/Enlarge," then the options are: "100%," "Auto," "64%," "129%," and "More."
    • Selecting "More" will provide additional sizing options.
  • If you want more than one set of copies, touch "Finishing" on the touch screen and select collate desired number of copies.
  • Once your documents are in place in the feeder and you have selected your desired features, press "Start" in the upper right corner and the copying should begin.

To make copies, log in by holding your ID card next to the reader (black box with blue and white flashing light on the right side of the device). If you do not have your ID card, you can also log in by using the keyboard to type your Drake credentials.

To make copies from a book using Book Original:

  • Press "Copy."
  • Lift the feeder and place the book pages down in the upper left corner on the document glass.
  • If you want more than one copy, touch "No. of Sets" near the top of the touch screen and select your desired number of copies.
  • Using the menu on the bottom of the touch screen, select your desired copy features, such as color or single- or double-sided.
  • If you want to use the "Book Original" feature under "Applications,"
    • First, change the paper size to the size that most closely matches the size of the pages you are copying by touching "Auto" at the bottom of the touch screen and selecting a paper tray to copy from.
    • If you want each page from the book on separate printed sheets (rather than a book spread), touch “Application” then "Book Original." Touch "On," then touch "Separation."
      • To eliminate shadows that may appear on the edges of your printed copy, in “Book Original,” touch “Frame Erase” to eliminate shadows on the edges of the pages and touch “Center Erase” to eliminate the shadow created by the open spine. Use the “+” and “-” to adjust how much of the page should be erased. Note: This can require some trial and error before finding the measurement that doesn’t erase any text.
    • When you have selected all of your desired settings from “Book Original,” touch "Close."
    • Touch “No Original Settings” and touch “Original Size.”
    • Touch “Custom” and use the double arrow and the “+” and “-” to match the size of the book when it is open on the glass. When you have finished adjusting the size, touch “OK” then “Close.”
  • Once you have selected your desired features, apply even, gentle pressure to both sides of the book, then press "Start." Repeat these steps until you have copies all of your desired pages.
  • When finished, remember to remove your document from the document glass, then log out by pressing "Log out" twice.

To make copies from a book using Zoom:

  • Press “Copy.”
  • Lift the feeder and place the book pages down in the upper left hand corner on the document glass.
  • If you want more than one copy, touch “No. of Sets” near the top of the touch screen and select your desired number of copies.
  • Using the menu on the bottom of the touch screen, select your desired copy features, such as color or single- or double-sided.
  • Touch “Auto” on the bottom of the touch screen to select a paper size/paper tray that most closely matches the size and orientation of the item that you plan to copy.
  • Touch “Zoom” then touch “100.0” and use the keypad on the touch screen to maximize or minimize the document to better fit the selected paper size. Note: To save paper and to preview the image of your document before printing it, please see the “To Preview Your Copy Before Printing” tab in the Copying box of this LibGuide.
  • Once you have selected your preferred Zoom percentage, press “OK” then press “Start.”
  • When you are finished, remember to remove your document from the document glass, then press “Log out” twice.

Note: The most effective method of achieving printed pages of a book that fill the whole page is to use the “Scanning Instructions and Features when Scanning a Book” tab in the Scanning box of this LibGuide. Once you receive your scan via email, click on File > Print and select “Fit to Printable Area” from the Page Scaling drop down menu, then click Print.

The preview feature allows you to view an image of your document before printing a copy. To use the preview feature,

  • Place the document or book you want to copy on the document glass.
  • Use the menu on the bottom of the touch screen to make your desired copy selections.
    • Select a paper size/paper tray that most closely matches the size and orientation of the document that you plan to copy.
    • Use the zoom feature to adjust the size. (If you over- or underestimate the zoom adjustments, you can alter these from the "Preview" page later.)
  • From the Application menu, you can select other desired copy features.
    • Note: The preview feature is not compatible with some Application options, such as the Book Original Feature. 
  • When you have selected your desired features, navigate back to the main copy menu and press "Preview."
  • "Preview on Screen" will be auto selected (this will allow you to view the document without printing it yet).
  • Touch the correct Original Direction option (this will depend on how you placed your document on the document glass), then touch "Start."
  • After an image of your document appears, you can pinch to zoom the image and verify that no text has been cut off. If you are unsatisfied with the image, touch "Settings" to make changes or touch "Cancel" and make your changes from the main copy menu.
    • If you want to change the zoom percentage, touch "Settings," then touch "Zoom" and input your desired percentage. To create a new image with these changes, touch "OK" then touch "Start Scan." The screen will display "1/2" at the top of the screen; to view your newly adjusted document, touch the arrow on the right of the screen. Repeat these steps until you are satisfied with the appearance of your document.
  • Once you are happy with the settings of your copy, touch "Print" from the Preview page.
  • As your document prints, you will be navigated back to the main copy menu, but your settings will remain. Place the next original on the document glass and press "Start." Repeat this step until you have copied all of your material.
  • When you are finished, remember to remove your document from the document glass, then press "Log out" twice.

To staple copied documents:

  • Load your originals into the feeder on top of the device.
  • On the touch screen, above Finishing, touch "Do Not Staple."
  • From the menu, under Staple, choose your desired staple number and position:
    • For one staple, touch "Corner" then touch "Position Setting." Choose from "Top Left" or "Top Right," then touch "OK." The screen will close, then touch "OK" again to return to the main Copy menu.
    • For two staples, touch "2 Position" then touch "Position Setting." Choose from "Left," "Right," or "Top," then touch "OK." The screen will close, then touch "OK" again to return to the main Copy menu.
  • Once you have made your desired selections, press "Start" to complete your copy job.
  • When you are finished, press "Log out" twice.

To hole-punch copied documents:

  • Load your originals into the feeder on top of the device.
  • On the touch screen, above Finishing, touch "Do Not Staple."
  • From the menu, under Punch, choose your desired punch number and position:
    • For two punches, touch "2-Hole" then touch "Position Setting." Choose from "Left," "Right," or "Top," then touch "OK." The screen will close, then touch "OK" again to return to the main Copy menu.
    • For three punches, touch "3-Hole" then touch "Position Setting." Choose from "Left," "Right," or "Top," then touch "OK." The screen will close, then touch "OK" again to return to the main Copy menu.
  • Once you have made your desired selections, press "Start" to complete your copy job.
  • When you are finished, press "Log out" twice.

Note: Not all devices have the capacity for staples or hole-punches. For a list of devices that have this feature, see the "Printer/Copier Locations" page within this guide.

Other features are available to alter or improve your copied material that have not been discussed in the more basic copying instructions. The following is not a comprehensive list of all features available but does include additional options that may be helpful to you as you copy your materials.

Additional features on the main menu:

  • If you would like to format your copied document as a booklet, load your originals into the feeder and follow the instructions below:
    • Above Booklet on the touch screen, touch "Off."
    • On the next menu, touch "On."
    • Touch your preferred bind (left-sided bind is auto selected).
    • Choose your paper size by touching "Paper." From here, touch the tray/paper size you would like to use, then touch "OK."
    • From the main Copy menu, press "Start" to complete your copy job. When you have finished, press "Log out" twice.
  • Under "Original Type," you can make selections that reflect the type of material you are copying, If making copies from a book, the device is already set to "Text/Photo Printed"; however, there are additional options, such as copying already copied paper, photo paper, or just text.

Additional features within the "Applications" menu:
To access additional features that do not appear on the main menu, touch "Application." From the menu that opens, you can scroll left or right or use the arrows on the touch screen to view the options available to you. Some of these options are the same features that appear on the main menu.

  • Under "No Original Settings," you can opt to select "Blank Page Removal," which will remove blank pages from your copied document. If you are copying an older document or a document that was badly copied previously, you can also touch "Despeckle" to produce a cleaner copy of the item. Once you have selected your desired settings, touch "OK."
  • Under "Text Enhancement," you can darken or lighten the text of the copy by touching "Standard" and then touching the white box that most closely measures your desired darkness or lightness of text, then touch "OK."
  • Under "Bleed Removal Standard," you can improve the appearance of discolored paper in your copy by touching "Paper Discoloration Adjustment" and touching the desired setting or touching "Auto" to let the device auto detect coloration improvements.
  • Under the "Page Number" option, you can paginate your document by touching "Off" to open the menu and then touching "On." From here, you can select the type of page number you would like and where on your document you would like it to appear (top of page, bottom of page, centered, etc.).

 

Scanning

To scan materials, log in by holding your ID card next to the reader (black box with blue and white flashing light on the right side of the device). If you do not have your ID card, you can also log in by using the keyboard to type your Drake credentials. Visitors will need to borrow a courtesy scanning card from the Information Desk and use the keyboard to type in the 8-digit number on the card as both the username and password to log in.

To scan using the feeder:

  • Press "Fax/Scan."
  • For 8.5x11 paper, place the documents vertically face up in the feeder. For larger paper sizes, place the documents horizontally face up in the feeder. Note: Only set paper in or on the feeder if you are currently scanning those materials. Setting extra copies or paper higher up on the feeder will cause the sensors in the feeder to auto detect a larger paper size, and you will end up with a great deal of dead space surrounding the scanned material.
  • If you are scanning a double-sided document, use the menu on the bottom of the touch screen to indicate that it is double-sided. Touch "1-sided" on the bottom of the screen; when the menu opens, touch "2-sided."
    • If scanning 2-sided documents but some of your pages are blank, you can remove those blank pages from the scan by touching "Application" in the lower right corner of the display screen. Once the menu opens, touch "No Original Settings" then touch "Blank Page Removal." Then touch "OK" and "Close."
  • To select yourself as the recipient of the scanned material, touch "Me" on the main menu on the touch screen.
    • To scan the item to a different recipient, touch "Direct Input" and use the keyboard to type in the email address of the desired recipient.
    • To scan the item to yourself and CC other recipients, touch "Me" on the main menu on the touch screen, then touch "Direct Input" and use the keyboard to enter in the additional address(es) you want as recipients.
  • Once your documents are in place in the feeder and you have selected your desired features, press "Start."

  • If you would like to eliminate any blank pages from your scanned document, touch "Application," then touch "No Original Settings." On the next menu, touch "Blank Page Removal," then "OK" and "Close."
  • The scanner will auto detect whether or not your document is in color or black and white; if your item is in color and you prefer gray scale, touch "Auto Color" on the menu at the bottom of the screen and touch "Gray Scale." When you have made your selection, touch "Close."
  • To select yourself as the recipient of the scanned material, touch "Me" on the main menu on the touch screen.
    • To scan the item to a different recipient, touch "Direct Input" then "Email." Use the keyboard to type in the email address of the desired recipient, then touch "OK."
    • To scan the item to yourself and CC other recipients, touch "Me" on the main menu on the touch screen, then touch "Direct Input" then "Email." Use the keyboard to enter in the additional address(es) you want as recipients, then touch "OK."
  • Once you have selected your desired features, press "Start" after each document you place on the glass.
  • Touch "Finish" when you have completed the scan.
  • Press "Start" again to send the scan to your input recipients.
  • When you have finished, press "Logout" twice.

  • In the same "Application" menu, touch "Book Original," then touch "On." From here, "Separation" will be auto selected. Touch "OK" and then "Close."
  • If you would like to eliminate any blank pages from your scanned document, touch "Application," then touch "No Original Settings." On the next menu, touch "Blank Page Removal," then "OK" and "Close."
  • To determine your scan size, touch "Auto" on the menu at the bottom of the screen.
    • Touch "Custom Size" and use "+" or "-" to set the height and width of the book when it is open on the glass.

    • Note: The preview feature is not compatible with the Book Original Feature. If you are scanning a book, on the main scan menu, touch "Auto" above Scan Size, then touch "Custom Size." Use the "+" or "-" to adjust the measurement, measuring the full width of the book when it is open on the glass.
  • When you have selected your desired features, navigate back to the main scan menu and press "Preview."
  • Touch the correct Original Direction option (this will depend on how you placed your document on the document glass), then touch "Start."
  • After an image of your scan appears, you can pinch to zoom the image and verify that no text has been cut off. If you are unsatisfied with the image, touch cancel to navigate back to the menu and adjust the settings. Repeat these steps until you are satisfied with the image.
  • Once you are satisfied with the appearance of your scan, touch "Start Scan" from the Preview page. Load the next original and press "Start Scan," and repeat these steps until you have scanned your entire document. When finished, touch "Send Now."
  • When you are finished, remember to remove your document from the document glass, then press "Log out" twice.

Other features are available to alter or improve your scanned material that have not been discussed in the more basic scanning instructions. The following is not a comprehensive list of all features available but does include additional options that may be helpful to you as you scan your materials.

Additional features on the main menu:

  • If you do not want a PDF of your scanned material, you can change the document type by touching "Compact PDF."
    • From this menu, you can then select other document types by touching your desired option (such as JPEG) and then touching "OK."
  • To alter the resolution of the scan, touch "Resolution" and touch your preferred option.
  • To change the name of your scanned document (as it will appear in your email attachment) or the subject of your email, touch "On" above the "File Name/Subject Name/Other" option.
    • Touch inside the "File Name" space and use the keyboard to name your file (for example, "Final Paper" or "Resume").
    • Touch the "Subject" space (auto filled as "Message From--") to change the subject of the email that will contain the attachment.
    • When you have changed the document and/or subject name(s), touch "OK."

Additional features within the "Application" menu:
To access additional features that do not appear on the main menu, touch "Application." From the menu that opens, you can scroll left or right or use the arrows on the touch screen to view the options available to you. Some of these options are the same features that appear on the main menu.

  • Under the "Save & Print" option, you can also print a copy of your scanned material y touching "Off" to open the menu and then touch "On." From here, you can adjust the number of sets you would like to print, indicate whether you want 1-sided or 2-sided copies, and select stapling options.
